The Parade Planning Checklist

Every task from six months out to step off. Permits, insurance, sponsors, entries, volunteers, lineup, and staging, organized month by month. Free to use.

Six Months Out

Set the date. Check school calendars, holiday weekends, and regional event conflicts. Lock it early — the date drives every other deadline.
Reserve the route. Contact your city or county clerk's office for street closure permits. Ask about insurance requirements and fees upfront.
Confirm city requirements. Many towns require a certificate of liability insurance (general liability $1M minimum is common), a traffic control plan, and police/fire approval.
Recruit your core team. You need at least three roles filled: a parade chair, an entries/registration coordinator, and a volunteer coordinator.
Draft a budget. List expected costs (permits, insurance, portable toilets, barricades, sound, awards, printing) and expected revenue (entry fees, sponsorships).

Four Months Out

Open entry registration. Publish your entry form online. Include category (float, band, vehicle, walking group, equestrian), contact info, fee, and a liability waiver.
Launch your sponsorship campaign. Send letters to local businesses. Offer tiered packages (title, gold, silver, bronze) with clear benefits at each level.
Recruit day-of volunteers. You need route marshals, staging helpers, registration table staff, and cleanup crew. Aim for one volunteer per 10 entries.
Order barricades and equipment. Reserve portable toilets, staging area signage, and traffic barricades. Some cities provide these; others charge.
Book entertainment and grand marshal. Secure your grand marshal, announcer, and any hired entertainment.

Two Months Out

Push registration. Follow up with past participants. Post in local Facebook groups and community calendars. Entry forms should close 2–3 weeks before parade day.
Follow up on sponsorships. Call businesses that haven't responded. A phone call converts twice as well as a letter alone.
Map the route. Drive the full route. Note staging areas, disband areas, turns, low branches, and any construction. Mark these on a map for volunteers.
Coordinate with police and fire. Confirm their staffing plan, road closure timeline, and any crossing points they'll manage.
Order awards and trophies. Decide judging categories and order trophies 6–8 weeks ahead.

Two Weeks Out

Close registration and build the lineup. Assign each entry a position number. Place bands at intervals (every 5–8 entries keeps energy up). Put equestrian entries near the end to minimize cleanup.
Send entry confirmations. Email each entry their position number, staging location, arrival time, and route map.
Confirm volunteer assignments. Send each volunteer their shift time, location, and duties.
Print signage and programs. Route signs, staging area signs, and any printed programs or lineups.
Final sponsor confirmations. Confirm banner placement, logo inclusion, and announcer mentions for each sponsor.

Parade Day

Set up staging area early. Arrive 2 hours before step-off. Post volunteers at entry points to direct traffic and check in entries.
Brief volunteers. Gather everyone 30 minutes before start. Assign radios and review the route map together.
Close roads on schedule. Follow the police-approved timeline. Start moving entries into position 30 minutes before step-off.
Step off on time. Lead with a police escort or flag bearer. Maintain spacing — aim for 30–60 feet between entries.
Manage the disband area. Have volunteers directing entries out of the disband area so they don't bottleneck.
Thank everyone. Send thank-you notes to sponsors, volunteers, and city staff within one week.
